This policy explains what personal information SurvAI collects through survai.co.uk, why, how long we keep it and the choices you have.
In this policy "SurvAI", "we" and "us" mean the operator of survai.co.uk. For anything about your information, email support@survai.co.uk.
The enquiry form
When you send an enquiry or ask for a demo, we collect the package you chose, your name, your practice or company, your email address, your phone number if you give one and anything you write in the message box. We also record your device's internet (IP) address, which we use only to stop the form being flooded with spam.
We use this to reply to your enquiry, arrange a demo and, if you go ahead, set up your account. The lawful basis is our legitimate interest in answering the people who contact us, and taking steps at your request before entering into a contract.
Your enquiry is stored securely in our database and sent by email to our team. We keep enquiries for up to two years from your last contact with us, unless you become a customer, when your details move to your account.
Cookies, analytics and advertising
We use a small number of cookies that are strictly necessary for the site to work: one keeps your visit working (it keeps you signed in and protects forms from misuse) and one remembers your cookie choice. These do not need your consent. Your choice of light or dark appearance is saved in your own browser, not in a cookie, and is never sent to us.
With your consent only, we also use:
- Google Analytics 4, to understand how visitors use the site, such as which pages are viewed and how people arrive. It sets cookies whose names begin with
_ga, kept for up to two years. - Google Ads, to measure whether our adverts lead to enquiries. It sets cookies whose names begin with
_gcl, kept for up to 90 days. - Google Tag Manager, which loads these tools. It does not set cookies itself.
Until you press Accept on the cookie banner, these cookies are not set. We use Google Consent Mode, so while consent is refused Google receives only basic signals without cookies, such as that a page was viewed, and cannot link them to you. If you reject cookies after accepting them, we remove the Google cookies from your browser. You can change your choice at any time using the cookie banner.
Google processes this information for us and may process it outside the United Kingdom under appropriate safeguards. You can read how Google uses information from sites that use its services.
Surveyors using SurvAI
If your firm uses SurvAI, we hold your account details (your name, email address and role) and records of your sign-ins, to provide the service and keep it secure.
The surveys you create contain information about properties and your clients. For that information your firm is the controller and SurvAI acts as its processor, using it only to provide the service on your firm's instructions. Your firm's own privacy notice tells your clients how it uses their information.
Who we share information with
We do not sell personal information. We share it only with service providers who help us run SurvAI, under contracts that require them to protect it: our hosting and storage provider, Amazon Web Services, in the United Kingdom; our email provider; the AI service providers that help prepare reports; and Google, for the analytics, advertising measurement and maps described above. We may also share information where the law requires it.
Keeping information safe
The site is served over an encrypted connection, access to our systems is restricted to people who need it, and information is stored with providers who meet recognised security standards.
Your rights
Under UK data protection law you can ask for a copy of your information, ask us to correct or delete it, object to or ask us to restrict how we use it, and withdraw consent at any time. To make a request, email support@survai.co.uk. We will reply within one month.
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Changes to this policy
We will update this page if how we use information changes, and show the date it last changed at the top.
